Hello, I am a baker/decorator who works from home. I was offered to take up a task and make 800-1,000 cupcakes for an upcoming charity event on the 3rd. I was like sure, 1,000 cupcakes, I would be happy to. I am so excited, but am struggling on where to begin, space I have, though only one oven with 2 racks, I debated getting a third but I don't want to affect my baking times by over crowding the oven. I normally separate my ingredients before hand. The largest order I have done was 200 cupcakes. I would greatly appreciate any tips I can get. Organizing, timing, strategies, discounts on ingredients or boxes that you may know of. ANYTHING HELPS. THANK YOU IN ADVANCE!
Your talking I,000 mini cupcakes right? Just doing the math, if your oven only holds 48 cupcakes at a time you are looking at 21 baking cycles in total. You are also going to need about 79sq ft. of works space/ refrigerator area to store those cupcakes, though that number would be reduced by stacking boxes. Are you planning on making from scratch or doctored box cake? Just based on my recipe that's 63 boxes of cake mix, 21 dozen eggs, 21 cups of oil, 4 gallons of sour cream, and 10.5qts of creamer (or water)- lots of refrigerator space!
I would start by going around and asking local grocery stores for donations. If you talk to a manager you can sometimes get better pricing since you are buying in bulk. Not sure if you have them where you live, but restaurant supply stores might be able to work with you as well. Timing is going to depend entirely on what you are comfortable doing in term of pace. I would start baking 2 days in advance, getting all the baking done one day and then frosting the next.
You might be able to cut down on how many cycles of baking if you can get 3 or even pans of cupcakes in your oven at a time. (Mine would hold 3). Bake time for cuppies - especially minis - is 1/2 what a cake takes so it should go a bit faster also.
