First Large Order, Need Advice

Hi all! I just took an order for March 10th that is my largest order so far. I messed up and underquoted but that’s a drink, I mean problem, for another day :) The order is for 30 dozen mini cupcakes, in 6 flavors, 4 dozen mini brownie bites, 3 6” naked cakes, 2 8” naked cakes.These will not be stacked, all separate.  The party is on Saturday, March 10th, setup at 4:30-5:30. The party starts at 6. 

Here’s the part I need some help/advice on:

1) Baking timeline- normally I would bake on Thursday, decorate on Friday, deliver on Saturday. But this is too much for that so what can I bake early? The cakes? If so, I should freeze them, right? Never done that so any advice is welcome please! 

2) Will mini cupcakes dry out if baked on Thursday? 

3) They are paying me to set up and stay for 1 1/2- 2 hours to keep the dessert table filled and cut the cakes and serve. I’ve never done this before, so any advice on this? Attire, when to cut cakes, do I serve people the cupcakes or just replenish the table?

Yes, you can bake and freeze ahead.  You can do so now:)

If you don't have a chef's coat just dress nice and neat - white blouse & dark pants or skirt would be good.  Will they be eating as soon as the party starts?  You could cut and plate the cakes as soon as they are ready for them to be consumed.  I would not serve the cupcakes - just replenish.

Do you have any advice on how to frost the cake layers after I freeze them? Do I let them come to room temperature first or do it when it’s frozen? They are going to be semi naked cakes if that makes a difference.

I always let my fzn cakes come to room temp before icing them.   One time I didn 't and the icing fell off in big slabs! :(  Makes no difference it being semi naked.

I would bake the cakes ahead of time and definitely freeze. I let thaw for 30mins or so then start stacking and doing the light outer coat of buttercream. I have never had a problem with this method! And the cakes are more stable still being cold.

Do you torte while frozen or before you freeze?

I torte before freezing, much much easier! Then I put them in the freezer with parchment paper separating the layers

Yes, torte before you fz.  You can bake, torte and even crumb coat before fzing.  Of course, it does depend on what type of filling being used - can it stand being fzn.

They are going to be filled with buttercream. This brings up another question, I’m doing semi naked cakes, do you usually crumb coat these and then add another layer of frosting and scrape it off partially or just do it all in one step?
