Letter Of Interest?

Has anyone ever had to write one of these before? Especially any other business owners? We own a landscaping business & have been asked to submit one to a homeowner's association/board of directors over a very large, very upscale/wealthy neighborhood to let them know we'd like to bid on their annual grounds maintenance contract for all of the common areas in the neighborhood. They actually ASKED US to submit a bid, but we have to follow the same procedure as the other companies who will be bidding, which requires you to first submit a letter of interest and then they decide if they want you to bid & will send you an info packet for you to work from for your bid/estimate. I've just never heard of this process before in our type of business....lol. And I haven't a clue of how to write this letter and what it should/should not include or cover.??? icon_confused.gif

Just taking a shot that someone here at CC has heard of this type of thing and could give me some pointers... icon_redface.gificon_rolleyes.gif

My mom use to be a small business accountant and I know that she has helped people with this before. I will talk to her tomorrow and find out a few details for you if you like.

As long as that won't be to late?

Congratulations on them ASKING you to bid. That sure says something about the work you do!!

Any advice is greatly appreciated! Yeah, them asking us to bid is really a confidence boost for us, business wise...plus it means our name is getting out there in the landscaping world around here...lol. We always do our best with all our customers, the monthly ones and the ones who just need us once or every now and then for a landscaping project or something. All our super hard work the past 4 years is starting to really pay off now by bringing in more customers. It's been worth it, too. icon_smile.gif

I bet you could find some sample letters if you did a google search.

Sorry it is so late Jenn, Just got home from class.

From my understanding it is pretty much stating that you understand what the job is, you will follow all guidelines and get the job done the way they want it.

Short example:

Letter of Intent to complete job __________.

[/u]"Company Name" will follow all procedures and policies to complete "details of job"

Restate any specifics. (ex. Insurance, safety, confidentiality, time deadlines.... etc.)

Lotsoftots & Leily - thank you both for your suggestions & for all that info Leily!! That was what I needed & that, combined with what I found online, I was able to put together what turned out to be a very impressive little letter of interest! lol icon_rolleyes.gif They called my husband a couple of hours after he hand delivered it with showers of compliments. 1st was that he was the only person, in fact the only business owner, who hand delivered their letter! 2nd was that they told him it had all the information they wanted in one of these letters that would give them an idea as to if they even wanted to deal with a company. "It was clear, precise and gave them an insight as to how good our customer service must be if the owner of the company hand delivered such a great letter of interest." That's what they told him! I had to be careful, though, and not sound like we 'needed' the contract with them...that tends to run people off if you come across as needing the work too badly.

Anyway - we'll be submitting the bid within 2 weeks, so wish us luck! And thanks for your help...I truly do appreciate it!!! thumbs_up.gificon_smile.gif
