I am making a cake for the local school. I have to use the schools kitchen icon_cry.gif The worst part is the parents are donating the ingrediants. I need a lot more than I have. I am a parent as well. Donating my time and skills. I can't afford to buy all the ingrediants too. The president of the group lost the list with who was going to bring what. I don't have a contact list for it. I am so scared that I am going to have to do it all. Any suggestions? I really need some help icon_eek.gif

cant you ask the school to help you. Put out another list. Sorry i cant help you much. I Hope you sort things out.

You would think the President could send out letters or emails to find out which parents volunteered or ask for new volunteers?

Can you contact the president and let her know that you can't bake a cake without the necessary ingredients- if she was in charge of the list it should be up to her to re-create it.... - would it be easier for you to purchase the ingredients and get reimbursed?

The president is new like this month. She tried to recreate the list but it didn't work well. I really don't know what to do

Your responsibility was to BAKE the cake, PERIOD! NOT supply the ingredients.
IT IS HER RESPONSIBILITY TO GET YOU THOSE SUPPLIES - NOT YOURS! I'm sure there are other members of the group. Make up a list of the supplies needed and present it to her. No supplies - NO cake!
Please do not take the money for this out of your pocket.

We see this type of thing over and over again...
NO MONEY, NO CAKE!!!

I hope you can get something figured out! What a pain. You have to tell someone that you can't make a cake without the right stuff.

With stuff like this, you have to be organinzed, new or not, the president shoulda kept up better.

Now they want to change the whole order. They want four 1/2 sheet cakes. With different writing on each. When I was asked to do this, I asked what kind of cake they wanted, how many needed to be served. They told me I could do what ever I wanted. I showed the parents my idea. They liked it and now they want more cake and different design. I didn't plant to make that much cake. They said that I needed to make a cake for two hundred. The cake I planned will feed 225. I can't figure out how many people. Four 1/2 sheet cakes will feed, a lot more than 200 right? The staff person in charge was really rude to me! She told me if this is too much for you. Let us know so we can order them from Safeway. Can you really order 4 1/2 sheets cakes that need to be there in two weeks? I just want to tell them to go away and to order the cakes. I was really looking forward to making the cake. I am not sure this is worth it!

Unfortunately, two weeks is enough time. I used to work in g a grocery bakery. If they are being too demanding along with the slip up of ingredients, tell them to order it. You will just have a bigger headache once you start baking and then they change their mind again.

A 12x18 typically yields 54 servings (cut 6x9, the slices are 2x2). So your four half sheets would give you 216 servings.

I dunno hon...if it were me, I would bail. The whole project seems haphazard and out of control, and if it's not even going to be fun, why bother? It would be one thing if you could be creative and get some good practice in, but four half-sheets are just boring work (to me...I just hate sheet cakes).

I know you'll do whatever's best! icon_smile.gif

I agree with kellym. If they want basic boring sheet cakes and they don't want to pitch in with supplies let them go to the grocery store. It's starting to sound stressful!

Two weeks is PLENTY of time to get Safeway cakes (assuming they are like Kroger, Walmart, Costco and others). Let them DO IT!! Less headache for you.

Your initial agreement was for a specific item - an item they approved if I read this correctly - and an item for which they would provide the supplies. Your PTO? pres. should understand the importance of working with volunteers, but also the importance of making sure that volunteers are provided what is needed. It was very generous of you to volunteer to do this in the first place. Getting people to volunteer isn't easy and you have to take care of the ones who do.

I would give them a list of ingredients, a description of the cake that had initially been agreed upon, and step back. It's not a matter of it being too much for you - it's a matter of whether or not they are going to do what they're supposed to do. If they can't provide you with what you need, they can go to Costco. Tell them you need to know what they choose to do by x date so that you aren't wasting any more time in preparation - no feelings hurt.

Good luck, and thanks for volunteering in the first place. I'm a former PTO pres and appreciate the value of people giving their time and talent.
